Safeguarding Policy

Everyone deserves safety, dignity, and protection from harm.

My SafePad International is committed to creating a safe, respectful, and inclusive environment for all individuals — especially children, adolescents, persons with disabilities, and other marginalized groups. We have zero tolerance for abuse, exploitation, harassment, or discrimination.

1. Who This Policy Covers

This Safeguarding Policy applies to all staff (full‑time, part‑time, and temporary), volunteers, ambassadors, peer educators, board members, consultants, partners, contractors, and any representatives acting on behalf of My SafePad International. Everyone associated with our work is expected to understand and uphold these standards.

2. Our Commitment

We maintain zero tolerance for any form of sexual exploitation, abuse, harassment, or violence. Our commitment is inclusive: we safeguard all individuals regardless of age, gender, disability, sexual orientation, or HIV status. We follow a rights‑based approach, upholding the UN Convention on the Rights of the Child, the UN Convention on the Rights of Persons with Disabilities, and the Maputo Protocol.

3. Definitions

A child or adolescent is any person under 18 years of age. A vulnerable adult is anyone who may be at increased risk of harm due to disability, age, illness, or other circumstances. Harm includes physical, emotional, sexual, or neglectful abuse, exploitation, or discrimination.

4. Prohibited Behaviors

The following behaviors are strictly prohibited within our organization and all related activities:

  • Sexual activity with anyone under 18, regardless of local age of consent.
  • Exchange of money, goods, or services for sexual activity.
  • Sexual harassment, including unwelcome comments, jokes, or touching.
  • Discrimination based on disability, gender identity, or any other status.
  • Physical punishment or emotional abuse.
  • Failure to report a safeguarding concern.

5. Prevention Measures

We take proactive steps to prevent harm. All staff and volunteers undergo background checks and reference checks. Mandatory safeguarding training is provided to all personnel and refreshed annually. Everyone signs a Code of Conduct that includes specific safeguarding clauses. Our programs are designed to minimize risks, especially when working with children or persons with disabilities.

6. Reporting a Concern

Anyone can report a safeguarding concern, without fear of retaliation. Reports can be made via email to mysafepad@gmail.com or safepadliberia@gmail.com (please mark the subject line “Safeguarding”), or through WhatsApp to +250 795 581 492 (also marked “Safeguarding”). You may also speak directly to any manager or designated safeguarding focal point in person.

We encourage reports even if you are uncertain. All reports are taken seriously and handled as confidentially as possible within safeguarding and legal requirements.

7. Responding to a Report

Upon receiving a report, we will acknowledge receipt within 24 hours and assess immediate safety risks, which may include arranging medical care or contacting police if needed. We will assign an appropriately trained investigator, using trauma‑informed approaches. While we aim to complete investigations promptly and fairly, timelines may vary depending on complexity. Appropriate disciplinary action will be taken, up to termination and referral to law enforcement. Survivors will receive support, including psychosocial and legal referrals.

8. Confidentiality & Privacy

We treat all reports with strict confidentiality. Information is shared only on a need‑to‑know basis to protect the survivor and the integrity of the investigation. We never publish or disclose identifying information without consent, except where required by law, such as mandatory reporting of child abuse.

9. Protection from Retaliation

We do not tolerate retaliation against anyone who reports a concern in good faith. Anyone who retaliates will face disciplinary action, including dismissal. Whistleblowers are protected under our internal policies.

10. Record Keeping

All safeguarding reports, investigations, and outcomes are recorded securely, accessible only to designated safeguarding officers. Records are retained for 7 years in accordance with legal standards and our privacy policy.

11. Training & Awareness

We ensure all personnel understand this policy and their responsibilities. Community members are informed of their right to safety and how to report concerns through posters, meetings, and our website.

12. Review & Accountability

This policy is reviewed annually by the Board of Directors. Any breaches by senior leadership will be investigated by an external body. We are committed to continuous improvement and learning.
